VACANCY: Receptionist and Administration Assistant

The ICRC regional delegation in Pretoria is looking for a suitable candidate to fill the following vacancy:

 Receptionist and Administration Assistant

 The Receptionist will welcome visitors, provide them with information and direct them to appropriate staff members, manage switchboard and support the main assistant with information management in the delegation.

 Minimum required qualification & experience:

  • DegreeDiplomas in administration or other qualifications judged equivalent. Any other secretarial training is an asset.

  • Excellent knowledge of secretariat’s work. Three or more years of professional experience in similar work.

  • Excellent written and oral English skills, Portuguese language is an added advantage

  • Very good knowledge of standard computer and other office equipment.

  • Able to take initiative and work independently

  • Interest and skills for training of users.

  • Ability to handle sensitive information with all required confidentiality.

  • Strong organizational skills and ability to prioritise.

  • Ability to cope with stress.

  • Flexibility and availability.

  • Aptitude for applying and ensuring compliance with ICRC directives and procedures.

  • 1-2 years’ experience in a similar field or role.

 Function description

  • Answering and screening incoming calls in a professional manner and transfer them to the concerned colleagues as necessary.

  • Takes messages from the callers and relay information to colleagues.

  • Send and receive bordereaux to Geneva and the Region.

  • Assisting with variety of administrative tasks.

  • Prepare for meetings by setting up rooms and material, including set-up for conference calls, presentations and video conference.

  • Under the supervision of the main assistant, should be referred to for ICRC protocol, rules for correspondence, document security, filing and intermediary archiving, how to use standard computer technology. Ensures compliance with the rules of visual identity in external presentations, letterheads, etc. Ensures that all users understand the need for and apply ICRC related policy and procedures

  • Carries out Chancellery tasks independently during the Assistant’s absence (holiday, sickness, mission). Welcome officer will be her back up during this time.

  • Writes formal and informal correspondence in English for the signature of the management. Prepares files on specific themes upon request.

  • Creates electronic and paper files for management. Files the management documents and provide other general support as and when requested.
